How much does office coffee service cost?

How does office coffee service cost depend on these three factors: 

  • Ownership of brewing equipment
  • Employees in the company
  • Types of coffee

Ownership of brewing equipment

If you own a coffee machine

If your company has an espresso machine then all you need to do is to look for companies that provide coffee and supplies. And there are only two things you need to take note of:

  1. The type of coffee, you and your colleagues enjoy drinking. 
  2. The minimum orders for free delivery 

If you are looking to buy a coffee machine for your office, do check out Sanremo (sleek and easy to use). 

If you do not own a coffee machine 

If your company do not have any existing coffee machine, then you can opt for a rental model or a free on loan model. 

  • Renting Coffee Machine 

When you rent a machine, you get to choose the machines that you like and there is o restriction on the type of coffee beans or the amount of coffee you need to purchase. However, most suppliers will need you to pay a deposit (usually 2 months) and sign a term agreement (for example 6 months). 

They might also charge you, every time you need them to service our machine. 

This is probably the most expensive model with regards to office coffee service, you pay on a monthly basis, for both the equipment and the coffee. 

  • Free On Loan Coffee Machine 

This is the most popular model. You pay only for the coffee, the machine comes free with it (it is a loan to you). The benefit of this free on loan model: 

  1. You only pay for the coffee
  2. You get a free on loan coffee machine 
  3. They will usually replace the machine if it is faulty at no extra charge 
  4. There are no additional maintenance or delivery charges. 

Employees in the company

The employees in the company determine the cost of your office coffee service.

  • Company or department below 5 pax

Most coffee suppliers will not offer the free on loan model, and renting a coffee machine is too expensive. So, most companies of this size, buy their coffee machine, and coffee. Most of them choose brands such as Nespresso or Dolce Gusto. 

  • Company or department below 10 pax

It is difficult to find coffee suppliers to offer “free on loan” for coffee grounds brewing equipment (Roast and Ground Coffee), suppliers that are willing to do free on loan are freeze-dried coffee suppliers, e.g. Nescafe coffee distributors. 

Nescafe distributors are also able to have lower starting monthly fees, $200 per month. 

  • Company or department below 15 pax

If your company has at least 15 pax, then you will be eligible for most free on loan coffee machines, drop us a chat if you are interested.:) 

Types of coffee

Your choice of coffee will determine your monthly cost (even if you go for the free on loan model). Better quality coffee beans translate into lesser cups of coffee and more cases of coffee you need to buy on a monthly basis.
